About the Role

As our Customer Care & Support Officer, you’ll serve as the first point of contact for all customer inquiries across the organisation. The role is responsible for delivering exceptional customer service by responding to inquiries, coordinating property viewings, maintaining customer records, and ensuring clients are connected to the appropriate departments.

The position plays a key role in creating a seamless customer experience from the initial inquiry through to service delivery.

Key Responsibilities

Respond promptly and professionally to all customer inquiries received via phone calls, WhatsApp, email, social media platforms, and other communication channels, ensuring excellent customer service at all times.

Assist prospective clients seeking to rent, buy, invest in, or list properties by providing accurate information, understanding their needs, and directing them to suitable properties or the appropriate team members where necessary.

Coordinate and schedule property viewings by liaising with clients, in-house agents, tenants, caretakers, property owners, and other relevant parties, including confirming property availability and managing viewing appointments.

Route specialized inquiries, including construction, software, partnerships, and other non-customer care matters, to the appropriate department or personnel and ensure timely follow-up where required.

Maintain accurate records of customer inquiries, viewing schedules, and related activities, and prepare and submit customer service and inquiry reports using the organization's designated tracking systems.

Follow up with clients after inquiries and property viewings, address customer concerns, escalate complex issues where necessary, and ensure a positive customer experience throughout the customer journey.

Perform administrative and other customer service support duties as assigned to facilitate the efficient operation of the department.

Perform any other related duties asmay reasonably be assigned from time to time to support the organization'soperations.

Basic Requirements

Diploma or Degree in Business Administration, Communications, Public Relations, Marketing, or a related field.

1–2 years' experience in a customer service, front office, call center, or client-facing role (real estate or property experience is an added advantage, not mandatory).

Excellent verbal and written communication skills in English and Kiswahili

Proficient in Microsoft Office Suite (Word, Excel, Outlook) and comfortable working across multiple digital communication platforms  WhatsApp, email, social media simultaneously and without dropping the ball.

Strong organizational and time management skills, with the ability to coordinate schedules and manage multiple viewing appointments and inquiries at once.

High level of professionalism, integrity, and attention to detail.

A calm, patient, solutions-oriented approach someone who can de-escalate a frustrated client without losing warmth.

Ability to work independently, prioritize urgent inquiries, know when to escalate versus handle directly, and collaborate effectively within a team.

Willingness to work flexible hours, including weekends, since property viewings often happen outside standard office hours.

Based in or willing to work from Nairobi.

Working Conditions

Full-time position

Office-based with occasional travel to properties for viewings where required.

Excellent verbal and written communication skills in English and Kiswahili
